Rehire Task Reuse Controls in Onboard

Set how recently a task must have been completed for a returning worker's answers to be reused, and choose per task whether the worker reviews them.

When a worker was rehired, tasks marked Reuse on rehire were auto-completed from their previous answers, with no age limit on the data and no chance for the worker to check it. An address collected years earlier carried forward exactly as if it had been given yesterday.

What's new

• Task reuse validity — A new section on the Workers matching and rehire settings page. Enable it, then set how far back a completion still counts using Reuse tasks completed within the last, with a value and a unit of days, months, or years.

• Stale answers are collected again — Tasks marked Reuse on rehire are auto-completed only when the worker finished them inside the window. Anything older is completed again by the rehired worker.

• A third reuse mode for tasks that collect information — Alongside Off and Reuse & complete, forms and other data collection tasks offer Reuse & worker reviews, which prefills the previous answers and leaves the task open for the worker to review and submit.

• Modes match what a task actually holds — Tasks with no answers to carry over, such as an information task, continue to offer only Off and Reuse & complete.

• Custom attributes follow the same rule — Attributes tied to an expired task are not carried forward unless a fresh completion also populated the same attribute.

• Existing behavior preserved — The validity setting is disabled by default. While it is off, tasks are reused regardless of how long ago they were completed, exactly as they are today.

• Existing exclusions kept — I-9, W-4, background check, and TIN check tasks remain ineligible for reuse.

Why it matters

Organizations that rehire seasonally or move workers between jobs can keep repeat onboarding short without carrying forward information that has gone out of date. A driver's licence upload or a home address from two years ago can be collected again while a recent one is reused, and where the answer is likely to have changed you can prefill it and let the worker correct it instead of retyping everything.
