Applicants Can Withdraw Their Own Application

DATE:
AUTHOR: The Fountain team

Applicants can end an application themselves from the applicant portal, without replying STOP or going quiet.

Applicants who took another job or lost interest had no clear way to say so. They stopped responding, leaving recruiters to follow up and rules to clean up later, or replied STOP, which blocks texts about every application they have with the company.

What's new

  • Withdraw my application link — a link in the applicant portal footer opens a confirmation window showing the brand and opening name, in the portal's language.

  • Moves to Rejected with a clear reason — when the applicant confirms, the application moves to the Rejected stage with the rejection reason "Withdrawn by applicant", and the applicant sees a confirmation.

  • A dedicated rejection reason — "Withdrawn by applicant" is a standard reason that can't be edited and is used only when applicants withdraw, so withdrawals are easy to separate from recruiter rejections in filters and reports.

  • Consent stays as it is — withdrawing ends that one application and does not change the applicant's SMS or marketing consent.

  • Recorded for audit — each withdrawal is recorded as an auditable event.

Why it matters

Applicants who have moved on can say so in one step, recruiters spend less time chasing them, and companies can keep texting the same applicant about other jobs they still want.

What to expect

Self-withdrawal is controlled by a company setting, Allow applicants to withdraw their application. Because the link sits in the applicant portal footer, it works best when messages to applicants include their portal link.
