Dynamic Document Templates for Offers

Document templates on the Document Signing stage become dynamic, so one master template can cover the offers a team used to keep as a separate file per variant.

Offer letter templates were static PDFs. When an offer varied by candidate, whether through negotiated benefits, exempt or non-exempt status, bonuses, equity, relocation, or location-specific legal language, teams edited the document outside Fountain and reformatted it for each candidate, and kept a separate template for every variant.


What's new

  • Word templates, with the fields detected for you — an admin uploads a Word document carrying merge fields and conditional blocks, and Fountain finds them and lists them for mapping.

  • Map to existing data or create a field — each field in the template is linked either to data Fountain already holds or to a new field created on the spot.

  • Conditional blocks driven by a value — a block appears only when its condition is met, so a signing bonus paragraph and its amount can be set to appear only where a bonus is greater than zero.

  • Formatting survives — logos, footers, fonts, tables, and multi-page layouts come through generation and signing intact, which matters when the output is a legal document.

  • A data form built from the template — at offer time the recruiter fills one input per field, and anything already collected at an earlier stage is filled in for them.

  • Preview, then send — see the document as the candidate will, with every conditional block resolved. Download it, change any value, or replace it with your own file, then send it for signature.

  • Existing templates keep working — PDF templates continue exactly as they are, in the same document list, and nothing about an offer already in flight changes.


Why it matters

A team that maintains a dozen or more document sets to cover the ways one offer can differ can replace them with a single master template, and the signed document is generated by Fountain rather than assembled by hand. That removes a step where mistakes reach a candidate in writing.


What to expect

There is no conversion of the templates you already have. Existing templates carry on working untouched, and moving a document onto the dynamic path means authoring it once as a Word template. Because this changes how a legally significant document is produced, a legal or compliance review of that master template is worth starting before you adopt it rather than after; that review usually takes longer than the setup does.
