Unified Access User Groups

DATE:
AUTHOR: The Fountain team

User Groups makes it faster and safer to manage who can see what at scale — assign users to groups that grant access to locations, location groups, and openings.

Managing access one person at a time across large, distributed orgs is slow and prone to drift. User Groups let admins define access patterns once and apply them consistently as teams grow and roles change.

What's new

  • Multi-group membership — a user can belong to multiple User Groups

  • Group-based access — groups grant access to locations, location groups, and openings

  • WX and Hire two-way sync — User Groups stay in sync between WorkforceX and Hire

  • Group and direct access combine — direct access is no longer overridden by group access; they work together

  • Invite flow improvement — set a user's group memberships during the invite flow

  • Filterable users table — filter by roles and user groups

  • Clearer admin permissions — unrestricted access labels clarified with a caution tooltip

Why it matters

Long direct-access lists drift over time and are hard to audit when org structures change. User Groups make the access model explicit — who has access to a given set of locations is answered by group membership, not a sprawling list of individual overrides.
